Managing Your Junk E-mail Using the Outlook 2003 Desktop Client

These features are available only in the Outlook 2003 desktop client using cached mode.

Developing Your Blocked and Safe Senders Lists

You will have to build the Blocked and Safe sender and domains list. To create these lists:

  1. Open the Outlook 2003 Desktop client.
  2. Locate a message in your Inbox with a sender you want to block as Spam or a message in your Junk E-mail folder with a sender you wish to mark as legitimate.
  3. Right Click on the message and menu will appear. Select Junk E-mail from the menu and choose:

For I-Hate-SPAM Users: Migrating Your Blacklist and Whitelist to Your Blocked and Safe Senders Lists

Note: I-Hate-SPAM users need to build their block and safe sender lists by using messages from their Spam-Blacklist and Spam-Whitelist Folders. This is very similar to the process that you used in I-Hate-SPAM to create these folders and to get your messages and SPAM going to the appropriate place. After this is done the Spam folder can be deleted.

  1. Open the Outlook 2003 Desktop client.
  2. Open your Spam folder.
  3. Open your Spam-Blacklist folder.
  4. Right Click on each message, select Junk E-mail and choose Add Sender to B locked Senders List . Repeat for each sender in the file that you still wish to block.
  5. Open your Spam-Whitelist folder.
  6. Right Click on each message, select Junk E-mail and choose Add Sender to S afe Senders List or Add Sender's Domain (@example.com) to add an individual sender or their whole site. Repeat for each sender in the file that you still wish to receive messages from.
  7. Right click on your Spam folder and choose Delete “Spam” to delete your (I-Hate-SPAM) Spam folder and subfolders.

Junk E-Mail Options

To change your Outlook 2003 Junk E-mail filtering:

  1. Right click on an email. Select Junk E-mail and click on Junk Email Options
  2. Select the level of Junk Email Filtering that you want. (Note: If you used the WWU Outlook Installer your filtering is set to Low by default.)
  3. You can manage your Safe, and Blocked senders list by clicking on their tabs at the top.

  1. Choose the Blocked Senders Tab
    This will consist of a list of people from whom you don't wish to receive e-mail messages. If someone from the list tries to send you a message, the e-mail message is directed to the Junk E-mail folder.
     
  2. You can use the Add , Edit or Remove button to modify the list.

  3. To add an e-mail address to this list, click on the Add button

  4. Enter the e-mail address of the person whom you wish to block and then click OK to continue.
  5. Click OK .

Turning on Cached Exchange Mode

(Note: If you use the WWU Outlook Installer skip this step, it is done automatically.)

To turn on the cached mode do the following:

  1. Open your Inbox in Outlook 2003.
  2. From the Tools menu select E-mail Accounts…
  3. Select View or change existing e-mail accounts .
  4. Click on the Next button.
  5. Select the Microsoft Exchange Server from the list.
  6. Click on the Change button.
  7. Put a check in the Use Cached Exchange Mode box

  8. Click on the Next button.
  9. Click on the Finish button.
